You sign in with ORCID, which authenticates you and provides your scholar identity. We create a local account tied to your ORCID iD, along with a preferred email address you give us for communication. You are responsible for keeping access to your ORCID account secure.

We only use your email to contact you about activity on the platform β€” submissions, review assignments, token transactions, and venue communications. We will not email you for marketing, and we will not share your address with anyone outside the platform.

  • Personal data is any information that identifies you β€” for example, your name, ORCID iD, or email address.
  • Processing means anything we do with that data: collecting, storing, using, or sharing it.
  • Token is a unit of reviewing credit earned by reviewing or editing, and spent on submissions.
  • Venue is a third-party publication site you have explicitly joined to review for or submit to.

We process your personal data under three grounds from the General Data Protection Regulation (GDPR) and similar laws:

  • Legitimate interest β€” to run the site, credit reviewing labor, and communicate with venues about reviews and submissions.
  • Consent β€” to improve the site and review processes, where you have given explicit consent. You can revoke consent at any time.
  • Legal compliance β€” where applicable laws require it.

Registration. We create a local account from your ORCID sign-in. We store your ORCID iD, preferred email, site preferences, venues you have joined, and the transactions affecting your tokens.

Reviewing. We store your reviewing availability and preferences. If a venue you have joined asks for available reviewers in your area, we share your contact information and expertise with that venue. When a venue reports a completed review, we update your token balance.

Submissions. When you submit through a venue you have joined, the venue can confirm with us whether you have tokens available. Once the venue reports the submission, we update your token balance.

Process improvement. We may review aggregated activity β€” name, affiliation, expertise from ORCID, reviewing and submission patterns β€” to understand how the platform is used and to improve it.

Cookies and technical data. We use only the cookies needed to keep you signed in, provided by our authentication service. We do not use cookies for analytics or advertising. We also store local preferences (such as dark mode) on your device for your convenience.

We keep your personal data for as long as you have a Reciprocal Reviews account. If you delete your account, we delete your preferences and venue links. Your token transactions stay in the record so venues can verify past reviews, but they are no longer linked to you.

Venues you have joined may keep their own records of you and your past reviews. Deleting your Reciprocal Reviews account does not affect what those venues store, but it does stop them from updating or querying your token balance.

We use reasonable physical, technical, and administrative safeguards to protect your data, and we require any service providers we use to do the same. Transmission over the internet is never fully secure, so we cannot guarantee data is safe in transit.

We email you only in response to legitimate activity: actions you take on the site, submissions you make, or reviewing and editing you have agreed to.

Venues you have joined may operate outside your country of residence, where data protection standards differ. By joining a venue, you accept that your data may be shared with that venue as needed to support peer review.
